How to E-Mail Merge to a List from Your Computer

 

 

 

Use Microsoft Word 2003 and Outlook 2003 as an E-Mail Merge Program.

 

If you have these programs, you can use them to automate sending e-mail to a group of people. Of course, another part of this setup is that you must be able to use Outlook with your e-mail program of your Internet Service Provider.

Your list in Excel

You should create an Excel spreadsheet to hold the list.

I suggest these (5) fields:

first last email sfiid joindate keycode

 

Open Excel and put those words in the 5 columns of the first line

 

then add the affiliates information in the lines under those columns so it will look something like this.

Your messages in Word

Create your follow up messages in Word and keep them together in a folder.

 

Perform the e-mail merge.

From the Tools menu, point to Letters and Mailings, and then click Mail Merge. From there you will be guided through these six steps:

  1. Select document type – choose Email
  2. Start document – choose the follow up email you want to use
  3. Select people to send to. Click Browse and navigate to your spreadsheet. You should see a window with the information of your affiliates.
  4. Write the email message. On the first line, Click where you want the affiliate’s first name to appear. Then click the More items link. You should see a Merge Fields List. Select “first” then click the Insert button. You should see <<first>> added to the email.  This is a field code and is where the first name will be inserted.
  5. Preview your message. You can move through the messages by clicking the double-arrow buttons. As you do that you will see that the first name changes each time.
  6. Merge to email. An info box will appear. Choose email as the address, Plain text as the email type and enter the Subject line you want on the messages. Click OK and your mail will be sent.

 

Basically, you create an e-mail and you create a spreadsheet that contains the list of e-mail addresses and names of the recipients.

 

You can then personalize the e-mail by adding recipient information to the e-mail. You will be able to send a single email, personalized to each person on your email list very quickly. You could also insert the date they joined or any other information that you had for them in the spreadsheet.

 

Send the affiliates own hot link to their gateway

By inserting the affiliates sfiid into a link, the link will be customized to go to the affiliates own link. It will look something like this when you are editing the email.

But when you are in step 5 above, you can see the sfiid change for each affiliate as you move from one to another. This hot link only worked when I sent email as plain text, so be sure to set it that way.

 

That way the new affiliate gets to see their own Gateway with their own name on it.

 

Run a few addresses to yourself or friends to make sure everything is working correctly.
